If you hot-swap the drive, then the NAS detects the deletion and insertion. If you power down/power up, then it has to infer that a new drive is inserted. So the NAS gets a bit more information on what you are doing if you hot-swap.
The NAS should handle the hot-swap even if a backup or add-on is doing something, though it goes faster if it isn't. Not sure why cloud is suggesting that you look at processes, as that requires ssh access.
Anyway, it is always a good idea to update your backup before replacing disks.
